Your external drive is not a backup
It is a second copy in the same room. Fire, theft, power surges and ransomware do not respect the difference — but they will teach it to you.
Almost every business we talk to has something they call a backup. Nine times out of ten it is an external hard drive sitting next to the server, or a folder on a second machine in the same office. It feels like protection. It is a spare copy, and there is a real difference.
What a spare copy survives
A spare copy in the same building genuinely helps with the smallest category of problem: one disk fails, and you have another. That is worth having. It is just a much smaller category than people assume.
What it does not survive
- Theft. Whoever takes the server takes the drive plugged into it.
- Fire and water. Both copies are in the same room, on the same floor.
- Power. A bad surge can take the machine and the attached drive together — this is not rare in Pakistan.
- Ransomware. If the drive is connected and visible to the operating system, encryption reaches it too. This is the one that catches most people.
- Time. The drive that is only plugged in when somebody remembers is, on the day of the incident, three weeks old.
The test that settles it
Ask one question about your current arrangement: if the office was unreachable tomorrow morning, could we still get the data? If the honest answer is no, what you have is a spare copy.
What good looks like
The rule worth designing to is three copies of your data, on two different kinds of storage, with at least one copy off-site and out of reach of your network — and a restore test that came back clean. The last part is the part almost everybody skips, and the only part that proves the rest worked.
None of this needs a large project. It needs the off-site copy to happen automatically, and someone to check that it did.
